Executive Assistant - High End Property Management

A Custom Home Builder here in West Michigan is looking for an Executive Assistant to join their team to provide high level administrative support to the Director of Real Estate and Development. The Executive Assistant will also be responsible for helping with the marketing materials and listings for current properties.

The ideal candidate will be a team player, have great attention to detail, strong organizational skills, and the ability to take initiative.

Executive Assistant Responsibilities:

Property Management / Real Estate Development

  • Coordinate property management scheduling (vendors, service requests, inspections, certifications, coordinated access)
  • Coordinate tenant communications (invoicing, collections, certificates of insurance, keys)
  • Develop and maintain email distribution lists for immediate and effective tenant communication
  • Assemble vendor contracts for property management services
  • Coordination and communication with development related tasks (proposals, scheduling, etc.)

Marketing

  • Prepare and/or coordinate marketing materials for commercial and residential developments
  • Review real estate listings monthly to ensure the text and photos are current and/or seasonal

Administration

  • Coordination of meetings: scheduling, prepare agendas, provide materials to participants, prepare minutes, schedule next steps
  • Prepare written correspondence as requested
  • Assist with management of email, calendar, daily tasks, and digital file management

Executive Assistant Qualifications:

  • 3+ years of administrative experience
  • Ability to anticipate Director's needs and plan to avoid foreseeable problems
  • Highly proficient in Microsoft Outlook, Excel, and Word
  • Strong technology orientation, ability to learn new skills easily
  • Excellent verbal and written communication
